Privacy notice for people we contact by email (GDPR Art. 14)

What data we hold: your name, job role, work email address, company name, the public web page where we found your work address, and a short quote from your company's public website that we refer to in our email. Plus our email exchange with you and, if you object, a suppression entry.
Where it comes from: publicly available business websites (e.g. your company's own website or team page). We record the exact page for each contact and tell you in the email. We do not buy lists and do not use contact databases.
Why (purpose): to ask you, in your professional role, for a short research conversation about how your business handles inbound inquiries, and, if you are interested, to follow up on that.
Legal basis: our legitimate interest in contacting businesses about relevant professional topics (Art. 6(1)(f) GDPR). We keep it to a few emails, business addresses only, and stop as soon as you say no.
Your right to object (Art. 21 GDPR): you can object at any time, without giving reasons. Reply "stop" or "no", or use the one-click unsubscribe link. We will not contact you again and keep only a minimal suppression entry so that we don't: your email address on the blocklist of our sending tool (Instantly), and a one-way hash of your address with the date in our own suppression list.
How long we keep it: contact data is deleted 30 days after the campaign ends if you didn't reply; if you reply, we keep your data and our correspondence while the conversation is active and delete it 30 days after it ends, unless we enter into a business relationship or a legal retention duty applies; suppression entries (your address on Instantly's blocklist for as long as we use that account, and a hash with the date in our own list) are kept indefinitely, solely so that we never contact you again.
Who receives it: our processors Instantly (Foo Monk, LLC, USA; email sending and unsubscribes; transfer based on EU Standard Contractual Clauses) and Google (Google Workspace, our mailbox; Google LLC is certified under the EU-U.S. Data Privacy Framework). We do not sell or share your data with anyone else.
Your other rights: access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20). No automated decision-making (Art. 22).
